Get ready for an even smoother Wells Fargo WellsOne Expense Manager experience.  We're pleased to announce that our upgrade is complete and ready for you to use. 

We've made enhancements based on feedback from students, faculty and staff which we believe will greatly improve the process for all types of system users.

Key Changes and Improvements You'll Notice

 Impacting All Users

  • Simplified Lehigh ID Usage: In most cases, your Lehigh ID will no longer be required or visible for WellsOne transactions. Individuals with specific exceptions to this change will be contacted directly by Brenda Bachman.
  • Department-Based Index Usage: Index usage will now be automatically aligned with your department, making them easier to identify and utilize. For cross-departmental transactions, simply indicate the relevant department on the specific transaction.
  • Transaction Splitting: Transactions can now be split once within the system. Any further splitting will require a reallocation through the Controller's office.
  • Streamlined Approval Process (for Split Transactions): Transaction splitting will now trigger approvals based on the split distribution, not the order of submission.
  • Fewer Required Receipts for Faculty and Staff: To reduce administrative burden, receipts will no longer be required for mileage, disputes, per diem, and credits.
  • Accessing Other Department Index Numbers: If you need to use an index number outside of your department, update the department name/number to access it. Rest assured, routing for approval will still be based on the user’s profile approvers for faculty and staff. Please include the email approval of its usage with your receipts.
  • Improved Transaction Spend Wizard: This feature should be used for all transactions.  GL codes/Account codes have been incorporated into most of the categories. This allows more uniformity when viewing transactions in Banner.

Impacting Research and Students

  • Streamlined Student Approval Process & Effortless Student Transaction Routing: Student approvals will now be managed directly by financial managers or authorized index signers linked to the index number used. Receipts will continue to be required for all student transactions. We highly recommend that financial managers and authorized signers coordinate who will be handling these student expense approvals.
  • Refined Index Number Handling: The "ST", "R" and “S” suffixes previously associated with Lehigh IDs for student approvals, 54 index numbers, and Study Abroad respectively, will be eliminated. ORSP approvers for 54 index numbers will now be clearly listed in user profiles for enhanced clarity, as will Study Abroad.  When a 54 index number is needed on a transaction, simply select Yes for this Research.  When a Study Abroad index number is needed on a transaction, simply select Yes for Study Abroad.
  • ORSP Approval Clarity (Faculty and Staff for 54 Index Numbers): If a faculty or staff member needs to use a 54 index number and the approval routing isn't yet established, they must complete the DocuSign OneCard Request form, designating ORSP as the approver(s). Both the user and ORSP will need to sign the form.
  • Important Note for 54 Index Numbers (Students): If a student needs to use a 54 index number, the professor or advisor must contact Brenda Bachman directly to make the necessary adjustments to the student's profile.
  • More Frequent Reimbursements: With timely approvals, reimbursements to students without declining balance cards may now be processed multiple times each week.
